Meeting & Event Planners Guide

Venue Account Instructions

How to create your account and build your venue profile

Venues Destinations Resources

This guide walks you through setting up and managing your venue profile on the Meeting & Event Planners Guide. Allow about 15–20 minutes the first time through.

1 Create Your Account

  • Visit the Venues page and click the blue Add Your Venue button (or click Sign Up here).
  • Fill out the registration form. Choose Venue/Hotel as your account type.
  • Click Sign Up at the bottom.
Approval window: Our administrator manually reviews new accounts. Please allow up to 48 hours. To request a faster turnaround, email mark@meetingeventplannersguide.com.

2 Log In

  • Once approved, click the Login link at the bottom left of any page and sign in with the email and password you used during registration.
  • You'll land on your dashboard. From the left sidebar, click Venues to see your venue list.
  • Click Add Venue if you don't have one yet, or click on the green action button to edit if you already have a venue listed.

3 Details Tab

This is the heart of your profile. Most fields on this tab appear at the top of your public page.

  • Venue name, address, city, region — appears in the header and on the Venues listing page.
  • Email & phone — the email receives quote requests via the “Get A Quote” button and the “send a message” button. The phone shows on your public profile.
  • Website — a direct link to your own site.
  • Logo — click Upload Logo. Use a JPG or PNG ideally 250×200px. The Croppie tool lets you crop & zoom; click the saved image to re-adjust.
  • Description — your sales pitch. Tell the story of your property and why it's a great meeting or event venue. Mention special offers if you have any. The Summernote editor supports bold, lists, and links.

Click Next/Save at the bottom right when done.

3 Features Tab

  • Toggle on the amenities your property offers (Wi-Fi, parking, A/V equipment, accessibility, etc.). These power the venue search filters.
  • Set your food & alcohol options.
  • Click Next/Save.

4 Media Tab

Great photos and video sell the property — this is where you upload them.

  • Video Links — click the + button, choose YouTube/Vimeo/Other, paste the video ID (or full URL for "Other"), and toggle On. You can keep multiple videos and switch which one is active.
  • Photos — click Choose File, select an image. Ideal size 800×560px, JPG or PNG, max 2MB, landscape orientation. Use RGB (not CMYK). Drag photos to reorder.
  • Hero banner — click the star on any photo to use it at the top of your profile. Multiple starred photos rotate as a slideshow. Best with landscape photos.
  • Files — upload PDFs (under 5MB) like floor plans, proposals, agreements, catering menus, etc.
  • Banner Ad — if you're a paid banner advertiser, upload a 250×200 JPG/PNG and set a website link. Banners appear on the homepage during your purchased run.

5 Social Tab

  • Paste full URLs to your Facebook, Instagram, LinkedIn, X (Twitter), YouTube, etc. Icons appear on your profile only for the platforms you fill in.
  • Click Next/Save.

6 Spaces Tab

  • Add each individual meeting/event space (ballrooms, breakout rooms, outdoor areas) with size, dimensions, ceiling height, and seating capacities for theater / classroom / banquet / reception.
  • Use the + button to add each space; drag to reorder.
  • Click Finish when complete.
The Spaces table is one of the most-used features by meeting planners — complete it carefully.
